Duties and Responsibilities

Under the direct supervision of the National Coordinator Vietnam, the National Finance and Administrative Assistant will perform the following duties and responsibilities:

  • Maintain an effective office filing system, both hard and soft versions and ensure effective follow up system ;
  • Arrange appointments and maintain the National Coordinator’s calendars;
  • Type and / or draft documents, reports and correspondence as directed and organize database for accessibility of documentation;
  • Maintain CEDAW SEAP data base on all relevant individuals and institutions;
  • Make travel arrangements and prepare travel claims for the National Coordinator and visitors  ;
  • Make arrangements and assist the Programme Manager and the National Coordinator in preparation for meetings, trainings and presentations;
  • Assist in information gathering for the “CEDAW SEAP” section of the UNIFEM website;
  • Undertake translation work as required;
  • Assist in the preparation of project budgets and revisions and maintain necessary financial records at country level, in compliance to the UNDP ATLAS system;
  • Coordinate and manage all financial disbursements and banking for Bangkok office and liaise with the Regional Programme/Finance Associate and UNDP (Country Office) on administrative and financial matters such as procurement and supplies;
  • Assist the in tracking programme expenditures on a regular basis;
  • Prepare financial reports at country level for the office as well as for UNIFEM Regional office
  • Undertake translation work as required;
  • Undertake other duties as assigned by the National Coordinator and the Programme Manager.

Qualifications

The National Finance and Administrative Assistant shall have:

  • Academic background preferably in social sciences or related fields or equivalence;
  • Operational or technical experience on gender issues and project management will be advantage;
  • Minimum three years of experience in handling administrative and financial matters;
  • Good command of written and spoken English.
  • Vietnamese National
